Program Overview – Community Care, Seniors Community ServicesThe Coordinator, Meals on Wheels Program, provides operational management to ensure the seamless delivery of the Meals on Wheels program. This role involves the planning of meal orders, managing client data within AlayaCare, and spearheading volunteer management initiatives. The Coordinator is responsible for recruiting a diverse volunteer base and implementing retention strategies to ensure program stability. Additionally, the role provides direct support with meal distribution, manages financial records, and ensures high standards of food safety and client care across all program sites.
What You Will Do
• Oversee the processing of hot and frozen meal orders, ensuring accurate procurement from suppliers and timely delivery to clients.
• Maintain accurate and up-to-date client records in AlayaCare, ensuring all intakes, assessments, and service changes are documented in real-time.
• Maintain accurate program data and statistical information for Meals on Wheels, in compliance with organizational reporting requirements.
• Develop and execute targeted outreach strategies to attract a reliable and diverse volunteer base for meal delivery and security checks.
• Implement engagement initiatives, recognition programs, and regular feedback loops to maintain a committed and satisfied volunteer team.
• Manage volunteer schedules within AlayaCare, ensuring all shifts and routes are fully covered.
• Coordinate volunteer delivery routes and communicate schedules effectively to ensure service reliability.
• Attend distribution sites to lead volunteer send-off activities and ensure smooth dispatch operations.
• Provide operational coverage by delivering meals directly to clients when volunteers are unavailable, operating agency vehicles as needed.
• Consult with food providers, transportation partners, and contractors to ensure service quality,
accurate billing, and timely resolution of issues.
• Ensure safety, compliance, and quality standards are consistently maintained across all program
areas.
• Ensure all program equipment and delivery bags are maintained, inventoried, and sanitized to meet hygiene standards.
• Manage financial administration including invoicing, fee collection, and monitoring outstanding client accounts in accordance with agency policies.
• Oversee the preparation of program reports, impact statistics, and documentation for internal and external audits.
• Serve as the primary point of contact for clients, volunteers, and staff regarding service inquiries, scheduling, and program information.
• Resolve client and volunteer concerns promptly and professionally, escalating critical issues to the Manager as required.
• Ensure absolute data confidentiality and compliance with privacy regulations (PHIPA) within AlayaCare.
• Lead quality assurance activities, including client satisfaction surveys and the analysis of incident reports.
• Ensure the anti-racism objectives and community development principles of the organization
are achieved within the program.
• Perform other related duties as assigned to ensure program excellence and continuity.
• Participate in regular supervisory sessions with the Supervisor, Food Services & Transportation
• Responsible for upgrading training and education as directed by WoodGreen Community Service
to fulfill the responsibilities of the job.
• Implement the Emergency Protocol for all three programs and bring forward issues to the Supervisor in a timely manner.
What You Bring to the Team
- Bachelor’s degree in nutrition, Social Work, or a related field preferred. Volunteer Management Certification is a strong asset.
- Proven experience in program coordination or administrative leadership, preferably within community health or social services.
- Demonstrated success in volunteer recruitment, training, and retention.
- Proficiency with AlayaCare database management systems.
- Valid Class G or higher driver’s license and a clean 3-year driving record required. Comprehensive knowledge of safe food handling, contamination prevention, and temperature control.
- Strong organizational leadership and multitasking abilities in a fast-paced environment.
- Exceptional verbal and written communication skills for diverse audiences.
- High level of accuracy in data management and financial record-keeping within AlayaCare.
- Ability to handle sensitive client information with absolute discretion and professionalism.
- Customer-service oriented with a patient, empathetic, and solution-focused approach.
- Ability to work independently and collaboratively across multi-disciplinary teams.
- High technological literacy and ability to master new software tools quickly.
- Physically capable of loading and unloading meal containers and heavy equipment.
- Flexible availability to meet program needs, including potential evenings and weekends.
- Physically able to lift 25–35 lbs., navigate stairs, and carry insulated delivery bags.
- Ability to push trolleys with coolers weighing approximately 80 lbs.
- Ability to drive agency vehicles safely for meal delivery and site visits.
- Commitment to maintaining hygiene standards through regular equipment sanitization.
- Deep commitment to maintaining all aspects of client and volunteer confidentiality.
